Our processes involve confidential supplier data and internal performance numbers. Can we still use AI tools?

Yes, with appropriate handling. We cover data governance explicitly in every ops programme — because ops teams handle more sensitive internal data than almost any other department. The training includes: what types of data are appropriate to include in AI prompts, how to use anonymised or aggregated versions when building templates, and how to structure workflows so that sensitive specifics are filled in by the user rather than embedded in the template. For highly regulated industries, we recommend involving your data governance or legal team in the pre-programme briefing so we can tailor the guidance to your specific policies.

We use a lot of Excel and Google Sheets. Will AI tools work with our existing data formats?

Claude Cowork handles structured text, tables, and formatted data inputs very well. The typical workflow is: export or copy the relevant section of your spreadsheet, paste it into a Claude prompt with your report template, and receive the narrative output. You're not replacing Excel — you're using it as the data layer and using Claude as the writing layer. For ops teams that work primarily in spreadsheets, this is usually the easiest integration to implement, because the data format is already structured and consistent.

Can we automate full processes, or just parts of them?

With Claude Cowork, you're augmenting human workflows — which means a human is still in the loop at the review and approval stage. What you're automating is the drafting, formatting, and synthesis work that currently takes up most of the time. Full end-to-end process automation (where no human reviews the output before it's actioned) requires a different technical setup, and we'd be honest with you about when that's appropriate versus when human oversight is the right call. For most ops use cases — reports, SOPs, communications, summaries — the human-in-the-loop model is both more appropriate and more achievable without any technical infrastructure changes.

How do we ensure consistency across the team once training is done?

The Build Challenge outputs are designed to be shared. Claude Cowork's team workspace means that the report template one person builds is accessible to everyone on the team. Part of the programme is establishing how you manage and version these shared templates — so you're not relying on individual memory and you're not ending up with five slightly different versions of the same workflow. We can also support a follow-up session 4–6 weeks after the initial programme to review what's been adopted, what needs refining, and what new use cases the team has identified on their own.

What's the right group size and duration for an ops team programme?

We recommend a full-day session for ops teams covering multiple workflow types (reports, SOPs, vendor comms, data summarisation). If the focus is on a single high-impact workflow, a half-day works well. Optimal group size for the Build Challenge format is 8–16 participants — enough to get diverse examples and good group discussion, small enough that everyone builds something. For larger ops departments, we can run the programme across multiple cohorts.
